Simple Beats Complex

The most effective sales process I have seen is not the most sophisticated one — it is the one the team actually follows consistently. Complexity creates friction. Friction creates non-adoption. Keep it simple.

Step 1: Define Your Pipeline Stages

Start with these five stages and add only if you genuinely need more: New Lead, Contacted, Quote Sent, Appointment Booked, Closed.

Step 2: Connect Your Lead Sources

Every place a lead can come from should automatically feed into the pipeline. Website forms, Facebook Lead Ads, Google Ads landing pages, and referral forms should all deliver leads directly to your GoHighLevel CRM without manual data entry.

Step 3: Build Your Initial Follow-Up Sequence

This is the most important workflow. It runs for every new lead automatically: immediate SMS, email at 5 minutes, follow-up at 2 hours if no response, follow-up email at 24 hours, SMS at 3 days, final outreach at 7 days.

Step 4: Automate Stage Transitions Where Possible

When a lead replies to your initial message, they should automatically move from "New Lead" to "Contacted." When they book an appointment, they should move to "Appointment Booked." Reduce the manual stage updates your team needs to make.

Step 5: Set Up a Daily Task View

Every morning, your pipeline should surface the 5 to 10 leads that need personal attention today. Leads in the Quote Sent stage for more than 3 days. Leads who have responded but not booked. Hot leads that have been quiet.

A sales process built this way takes about a day to set up and runs continuously from then on. It is not a one-time task — it is the infrastructure your entire sales operation runs on.
