Mistake 2: Custom Fields That Nobody Fills In
Creating 20 custom fields gives you the ability to capture detailed information. But if the team does not fill them in, they are just empty fields cluttering the contact record. Start with the 5 fields you will genuinely use.
Mistake 3: Leads From Different Sources in the Same Pipeline
Facebook ad leads and referral leads behave very differently and need different follow-up. Mixing them in the same pipeline makes it impossible to measure source performance or tailor your approach.
Mistake 4: No Automation Connected to Pipeline Stages
A pipeline without automation is just a visual spreadsheet. When a lead moves to "Quote Sent" a follow-up should trigger automatically. When a deal closes, an onboarding sequence should start. Connect your automations to your pipeline stages.
Mistake 5: Not Reviewing and Cleaning the Pipeline
Pipelines accumulate stale leads. A lead that has been in "Contacted" for 3 months is not still active — it needs to be either re-engaged aggressively or moved to a long-term nurture list. Audit your pipeline monthly.
